Meeting Summary
During the team meeting, Anna brought up some feedback from Iqa (Videographer) based on the first two days of filming. During the shoot, Iqa mentioned that she faced some struggles with the harsh condition of the lighting in the day and there was a need to reschedule the shooting hours. Furthermore, Iqa feedback that there was a lack of 'direction' given from us. Based on the feedback given, our team had immediately expanded our resources to provide her a shooting plan and schedule for the different days. During the shoot, the team came across a stakeholder who was not keen on having their store being filmed. Walter immediately asked for Stella (Client) to write a 'letter of permission' for 'clearance' to show stakeholders for our upcoming shoots, in the event that they are not comfortable. However, due to a miscommunication, Walter had sent out an email to all stakeholders without clarifying on the confirmed list of stakeholders the social media team wanted to film.
The team also discussed about the Project Documentation and immediately set up a schedule to take turns updating the progress and archival images onto the website.
Reflection
The team realised that the email that was sent out by Walter had many errors and were not professional, in terms of representation and was done without approval by the team. The team quickly retracted the email and ensured that there was no confusion.
The team realised that there were indeed some miscommunication among us and that they needed to be more transparent and to communicate properly. As such, the team created guidelines and procedures to follow and adhere to reporting about progress and updates.
